Ads Can be...

Browsed

Browse ads from Search Results.

Previewed

Thumbnail previews will display only for those ads with accompanying previews.

Not Edited

Ads and Delivery Tickets cannot be edited.

Proof printed

You can print a proof copy of the Delivery Ticket.

Output

Output ads to pre-press or pagination software, or download to your desktop.

Cancelled

The advertiser sends a "dummy" news object that contains the cancellation information.

The Ad News Object


The Ad news object is a digital ad sent by advertisers. AP Server automates the following tasks to manage incoming ads:


Searching for an Ad - Simple Search Interface

  1. Click and drag on the Objects Type box to only select Ads.
  2. Click Search. Any Delivery Tickets matching these parameters will be displayed

Searching for an Ad - Advanced Search Interface

  1. Click and drag on the Objects Type box to only select Ads.
  2. Click Search. Any Delivery Tickets that start with these letters will be displayed

Viewing Specific Information about an Ad

Once you have found the ad(s) you want, you can click on the thumbnail view to see specific details about the ad:



Explanation of Ad fields

When viewing the description of an Ad object, some of the fields displayed may be searched by a user. If a general search or User restriction does not provide the results you want, you can focus on specific fields by using their field names.
The labels below describe the information in these fields. To search through these fields, or to use them as query restrictions, you must enter the field name (shown in parenthesis, if available) in the search fields or User Filter fields.

DT Number (Delivery Ticket Number)

Unique ad identifier comprised of a 3-character Advertiser Code followed by a sequential number reflecting the quantity of ads that the advertiser has sent.

Description

Description of ad, for example can describe the type of promotion that the ad contains.

Slug

One line description of the ad.

From (fromname)

Advertiser's name (same as the from name found on the Delivery Ticket).

Address (fromaddress)

Advertiser's address (same as the from address found on the Delivery Ticket).

Instruction (specialinstr)

Delivery and processing information from the advertiser (may detail how to run the ad, the colors to use, etc.).

Insertion info

Special information on how to use the ad.

Insertion date

Date(s) that the ad is to be run in the newspaper in mm/dd/yy format.

Date sent

Date the ad was sent from the advertiser.

Reservation number

An identification number relating to the ad reservation request.

Colors (colors)

The number of colors that should be used to print the ad.
1 = B&W (1 color), 2 = B&W & 1 other color, 3 = 3 colors, 4 = 4 colors.

File type

The type of Ad file Ex. EPS, Freehand 7, PDF, etc.

Date Received

The date the ad was received by the AP Server.

Project ID

The identification number for this project.

Priority (urgency)

A code that specifies the priority of the Ad:
Priority = send ad in 1 hour
Four Hours = send ad in 4 hours
Normal = send ad in 12 hours (normal priority)

Columns (columns)

Numeric value equal to the number of columns (1-6) that the ad will cover when printed.

Expiration Date

Final date the Ad is to be run.

Height (height)

Height of the ad in inches.

To Reprint a Delivery Ticket

  1. Locate the Ad whose Delivery ticket you wish to reprint.
  2. Click on the checkbox to select the Ad whose Delivery Ticket you wish to print.
  3. Click ProofPrint from the Controls menu. The DT information will be printed on your configured printer. A Script Listener may also be used if properly configured.

To Automatically view only Ads every time you log into the AP Server

You can configure the AP Server to automatically display only Ad files when you log in, excluding Photos and Graphics from your display.

  1. Highlight Ads in the Objects Type box (at the top right of the search frame). (Leave other fields blank to view all Ads, or select a time period to search in the From: Drop-down menu.)
    Note: If you use the Advanced Search interface, you can also select to search Ads by Arrival Date, last Modified date, Insertion date or Creation date from the When menu.
  2. Save this Search by pressing the Save Search button.
  3. Enter a name for the Search. Ex. Ads, then click Save.
  4. Make it your Default Simple or Advanced Search in the Preferences. Click Save to save the changes. This way, when you log in, the AP Server automatically searches and displays Ads as set in the Saved Search.

To restrict a User to viewing specific Ads

The system administrator can limit users' access to ads by using the User Filters. Refer to the AP Server Manager Guide - Users and Groups for more information on User Filters.
