Explanation of Graphics fields

The labels below describe the information in Graphics fields. To search through these fields, or to use them as user filters, you must enter the field name (shown in parenthesis, if available) in the search fields or query filter fields.

Caption (caption)

Text that accompanies a graphic containing the Who, What, When, Where and Why information and the size of the graphic.

Object Name (objectname)

Filename assigned to the graphic.

Headline (headline)

This field lists keywords to aid in a more detailed search for a graphic.

Category (category)

This field contains a code that identifies the subject of the graphics and aids in a more detailed search.

Supplemental Categories
(suppcat1, suppcat2 or suppcat3)

Additional supplemental categories that further identify the graphic.

Source (source)

The original owner of the graphic; this could be an agency, a member of an agency or an individual.

Credit (credit)

The transmitter or provider of the graphic, not necessarily the owner/creator.

Location
(Country, State, City)

Identifies the city, state and country shown in the graphic.

Byline (byline)

The name(s) of the artists and researchers who contributed to the graphic.

BylineTitle

Lists the title of the creator of the graphic.

Creation date

Date the graphic was created.

Submit Date

The date the graphic was entered into the AP Server.


Downloading Graphics Files

Graphics files may be searched and downloaded just like photos. You will generally see two file formats, FreeHand files identified by the suffix .FH7 and Portable Document Files identified by the suffix .PDF. Downloaded graphics may also contain preview files of the graphic or the IPTC header information.
When you download a graphic file, it saves to your computer as a compressed Macbinary (.bin) file. This file may be uncompressed using:

The Macbinary graphics file (.bin) expands to a FreeHand file or PDF graphic depending on the filetype you downloaded. FreeHand files that are over 1 MB are compressed and therefore, you may occasionally see a Stuffit Deluxe (.sit) file after uncompressing the .bin file. Double click on the .SIT file to open it. Please note that if you subscribe to DataFeature graphics, you may receive other filetypes like Adobe Illustrator (.ai) and Quark Xpress (.qxp).


Notes on Using Graphics

Freehand 7
Freehand 7 should be used to open Freehand graphics files. Adobe Illustrator may also be used to open Freehand files, but is not supported by the AP due to font related issues.

PDF Graphics
Graphics in the PDF (Portable Document Format) may be opened and viewed in Adobe Acrobat or Adobe Acrobat Reader (available at www.adobe.com).
Adobe Photoshop 5 and Adobe Illustrator may also be used to open PDF Graphic files.

Fonts
AP Graphics uses Helvetica, Times and Franklin Gothic Heavy ITC fonts. Helvetica and Times are system fonts and should already be present on your system. Franklin Gothic Heavy ITC is not a system font and must be installed to view AP graphics accurately. It is available (at no charge) from the AP Web Graphics site at http://graphics.ap.org in the software folder.

ATM
Adobe Type Manager (ATM) should be installed and running on the client computer you use to connect to the AP Server. ATM prevents the jagged edges that may appear in some fonts.


To Automatically view only Graphics every time you log into the AP Server

You can configure the AP Server to automatically display only Graphics files when you log into the AP Server, excluding Photos and Ads from your display.

  1. Highlight Graphics in the Object Types box (at the top right of the search frame).
    (Leave other fields blank to view all Graphics, or select a time period in the From: Drop-down menu to view graphics that arrived during a specific time period.)
  2. Save this Search by pressing the Save Search button.
  3. Enter a name for the Search. Ex. Graphics, then click Save.
  4. Make it your Default Simple or Advanced Search in the Preferences.
  5. Click Save to save the changes.

Now, when you log in, the AP Server automatically displays graphics (as set in the Saved Search).
