Uploading Files into the AP Server
The AP Server will generally receive most News Objects
via satellite interface. There will be times however when you want to insert
a local object into your AP Server database. News Objects like photos,
graphics, ads or stories may be uploaded into the AP Server database
from any client workstation, provided the user has the rights to do so.
Before you upload an object, it should be properly prepared
to be useful as a News Object. This involves making the image the right
size for transmission and entering the Description and/or Caption text.
Preparing an image for uploading
When selecting an image to upload, keep a few things
in mind:

The image should have enough data to provide a useful quality
image for others to use. Images scanned from film should have an uncompressed
size of about eight megabytes. This is equivalent to an 8 x 10 inch image
at 200 DPI resolution. If you are not sure of the image resolution, upload
the object at its original size and resolution.

For now, the images must be saved in the TIFF or JPEG (medium
compression) formats. Other formats will be added in the future.

Enter Caption and Header information using AP codes. These
may be inserted using Adobe Photoshop. For more information concerning

You must have the proper User Rights to upload a file into
the AP Server database.
Entering Caption And Header Data
Once an image is selected, you can add Caption and Header
data using any image processing application that allows editing of Header
data. This data will be imported with the file and supply important information
about the image.

Open the file in the graphics application.

From the File menu, select File Info.

In the File Info box, select the following sections from
the drop-down menu and enter the data into the fields as follows:
Notes: The following fields MUST be filled in,
other fields are optional. For more information on IPTC Header and Caption
codes, See
Header Fields.
- Caption: Include vital information and date to
give adequate information about the image. When you fill in the Caption
Writer field, initials are sufficient. You may also enter Headline text
if desired.
- Category: Use the AP codes. Examples:
A - News, feature or Advance
S - Sports
F - Financial and business
You may also insert supplemental categories if desired.
- Credits:
Byline Enter the Byline (photographer name).
Byline Title: MBR (member), STF (staff), STR (stringer),
etc.
- Origin:
For Object Name, enter a one or two word description
of the image.
Original Transmission Reference: Use your newspapers
AP SID code followed by 101 for the first image sent on any day. Increment
the number by one for every image sent that day (102, 103, etc.). Start
over at 101 again on the next day.
Click OK when you have entered all pertinent information,
and save the image. This image is now ready to be uploaded into the AP
Server NT database for others to view and use.

Log into the AP Server.

Under the Controls frame, click the triangle next to INPUT
so it is pointing down. Any configured Input ports are displayed.
(Due to differences in the way text characters are displayed,
images captioned on a Macintosh computer must use a different Input port
than images captioned on a Windows PC).

Click the Photo Input port that corresponds to the computer
that captioned the image (Mac or PC). The file upload window appears.
| Upload Note: In some browsers, a Java Security window
is displayed on upload. If so, click Remember this decision, then click
Grant (or click Always trust content from Infomentum, LTD, then click Yes).
You are providing permission to receive an Applet that uploads the image
and prevent reappearance of this window.

Click Add, the Select File window appears.

Enter the full path of the folder containing the image you
wish to upload into the Look In: box, or use the folder buttons
to navigate to it. Press the Set button to view the contents of
a folder in the
Look In: box.

Select the desired file(s) and click OK to return
to the Upload window.

Click Add to add another file, or highlight a file
and click Remove to remove it from the Upload list.

To view a status log of the file upload, click the Display
Return Status checkbox.

Click Upload Selected Files to upload the files to
the AP Server database. To abort the upload, click Cancel.
